Contractor Management Updates - What's Changing?

We've introduced a new, structured way of managing contractors and operatives in One.site.

These changes create clearer ownership of operatives, improve contractor visibility, and give contractors more control over their own workforce - while keeping site access, inductions, and check-ins working as expected.

Why are we making these changes?

As One.site continues to grow, many customers now work with:
  1. Multiple contractors across multiple sites
  2. Operatives who move between projects
  3. A mix of site-based and company-level administration
The updated contractor model helps to:
  1. Clearly link every operative to a contractor
  2. Improve visibility of who works for who
  3. Give contractors more control over their workforce.

What's changing?

Contractors are now structured organisations in One.site

Contractors are now treated as distinct organisations within One.site, rather than just a label on an operative profile. This means:
  1. Every operative in One.site now belongs to a contractor
  2. Contractors can be managed independently of individual sites
  3. Contractor-level views of operatives are now available

Contractors are selected by operatives during onboarding

During the invite process, the person sending the invite no longer selects the contractor. Instead:
  1. The operative selects the contractor they work for during sign-up
  2. They do this by typing the name and selecting it from a drop-down list
  3. If the contractor does not exist, the operative can create it
When a new contractor is created:
  1. The contractor is added to One.site
  2. Full contractor details can be completed
  3. The operative who created it becomes a Contractor Admin
This ensures contractor information is accurate and owned by the contractor themselves.

Operatives are automatically linked to their contractor

Once the contractor structure is in place:
  1. All operatives are clearly associated with a contractor
  2. When new operatives are invited, they are automatically added to the correct contractor
  3. Contractors can see a list of all operatives associated with them
This creates a single, consistent view of a contractor's workforce.

Inviting users to your workforce

If you invite an existing One.site user who does not currently appear under your contractor:
  1. They will be invited to join your workforce
  2. The operative can accept or decline the invitation
  3. Once accepted, they will appear in your People tab under your contractor
If you invite an operative who does not yet have a One.site account:
  1. They will automatically be added to your contractor
  2. They can update their contractor from their profile at any time
  3. If they change contractor, they will no longer appear in your People view

Contractor Admin roles and workforce management

Contractors now have more control over their workforce. You can:
  1. Promote operatives to Contractor Admins
  2. Have multiple Contractor Admins per contractor
  3. Remove operatives from your workforce if they no longer work for you.

What does this mean for operatives?

  1. You will be asked to select the contractor you work for when signing up
  2. If invited to join a contractor's workforce, you can accept or decline
  3. Your site access, inductions, and check-in experience remain the same
  4. No action is required unless you are prompted during an invite or workforce request

What does this mean for contractors?

  1. You have clearer ownership of your operatives
  2. You can manage who appears in your workforce
  3. You can assign more than one Contractor Admin
  4. Your workforce view stays up to date automatically

What does this mean for site teams?

  1. The site invite and approval process remains familiar
  2. You no longer need to select a contractor when inviting new users
  3. These changes do not affect how you manage day-to-day site activity

Do I need to do anything?

No immediate action is required.

Where possible, we will automatically migrate operatives to the correct contractor. If we are unable to do this, no contractor will be set and you will be prompted on your dashboard to create or join a contractor.
